    TITLE: Foundation Assistant

    THE ORGANIZATION: The LA84 Foundation is a nationally recognized leader in support of youth sport programs and public education about the role of sports in positive youth development. The foundation, with 30 years of on-the-ground experience, has supported thousands of Southern California youth sports organizations through grant making, while also training coaches, commissioning research, convening conferences and acting as a national thought leader on important youth sports issues.     POSITION SUMMARY: Reporting to the President and CEO, the Executive Assistant/Program Associate position’s primary focus is to support the President/CEO and the broad activities of the Foundation’s core programs and operations.  The Executive Assistant/Program Associate will multitask, prioritize incoming requests, and work with initiative without requiring close supervision. The role requires analytical and communication skills to appropriately prioritize duties, engage and work collaboratively with the team in a proactive and positive style, and to produce results on-time with meticulous attention to detail. S/he will have administrative duties such as scheduling meetings, scheduling travel and multi-person meeting coordination, and drafting correspondence, but will also be required to assist with special projects as required. Interest in youth development and/or sport recommended. S/he will be involved with a large range of contacts ranging from entry level to extremely high-level and may be exposed to sensitive information requiring discretion, good judgement and confidentiality. S/he will also coordinate/interface with other departments. This position requires comfort and agility in working in a fast-paced work environment and the ability to well-represent the organization and President & CEO to external audiences by phone and email.

    Essential Functions:

    • Support the President & CEO
    • Receives and screens incoming calls and visitors, determines priority and alerts Executive accordingly
    • Coordinates Executive’s schedule; confirms appointments and meetings; with as needed of required agendas and supporting materials as directed
    • Coordinates mutli-person conference calls and meetings; supports agenda development and material preparation; and manages conference line set-up
    • Coordinates Executive travel, including but not limited to conference registration, travel authorizations, air bookings, lodging arrangements and ground transport
    • Processes expense and reimbursements for Executive in accordance with policy
    • Formats a variety of documents, reports, memos, charts, slide presentations, and graphics consistent with the organization’s style guide
    • Supports data and document management, including filing, scanning and storing digital versions of documents in relevant enterprise content management systems
    • Ability to exercise discretion in handling sensitive or confidential information or situations
    • Drafts straw content for Executive meetings, supports Board and Committee meetings with note-taking and action item follow-up
    • Orders catering for Executive-owned meetings
    • Managing list of topics for Board meetings; supports and coordinates with Senior leadership with board meeting preparation
    • Manages collection process of supporting materials for Board meetings; Prepares and formats materials to ensure materials are Board-ready
    • Runs, formats and provides reports from relevant systems, Excel Workbooks, Fluxx, and other databases as directed
    • Fulfills information requests from internal or external stakeholders as directed
    • Researches news, youth and sport issues, policy and law, as well as background information on potential partners and contacts
    • Supports the organization’s commitment to diversity and inclusion, and values a diversity of perspectives
    • Adheres to policies and procedures to ensure alignment with regulations and directives
    • Collaborates both internally and with external stakeholders to capture, synthesize and share learning and knowledge out comes with the ongoing execution of all activities as necessary

    Qualifications:

    • Minimum Education: Bachelor’s Degree
    • Minimum Experience: 5-7 years experience

    Computer Skills:

    • Proficiency in MS Office Suite (Word, Excel, PowerPoint, Outlook)

    • Familiarity with grants management software and relational databases, Fluxx is a bonus

    Certificates, Licenses and Registrations:

    • Valid California Class C Driver License or the ability to utilize an alternative method of transportation when needed to carry out job-related essential functions
    • Valid automobile liability insurance

    POSITION SUMMARY: Own the day-to-day digital media programs for the LA84 Foundation, including social media strategy and execution. We are looking for a high-energy applicant with experience in successfully building and implementing digital marketing and social media programs for an organization. You will know how to work with a team and across organizational functions and departments to build engagement and a strong following on social media platforms. You are comfortable with quantitative analysis and know how to build an executive dashboard that highlights key success metrics. Reports to the Vice President of Marketing and Communications

    Essential functions:

    • Coordinate and implement/execute on all aspects of LA84’s social media channels including but not limited to the daily collecting and posting of relevant content, daily monitoring and response to audience postings, accelerating the growth of followers, growing audience engagement and measuring and analyzing the effectiveness of social media efforts
    • Perform data analysis of marketing efforts and provide results in a dashboard format
    • Writing, editing and layout of all marketing and social media content
    • Generating creative content for LA84.org including feature stories
    • Follow and report regularly on emerging social media and digital marketing trends
    • Assisting with production of biennial report, e-newsletter, and other publications (digital and hardcopy)
    • Raises awareness about youth sport issues and highlights the organizations LA84 partners together
    • Works with key constituents through media relations, marketing, public relations and online platforms
    • Collaborates with all of the organization’s departments to achieve brand consistency, coordination of messages, and external communications, including organization-wide electronic and print communications.
    • Reports on content performance across multiple channels, identifying and communicating key performance metrics and insights with management and other partners
    • Manage and build email marketing database
    • Staffing all LA84 events in a media relations capacity
    • Other duties assigned by the Vice President of Marketing and Communications or the President may include special event promotion, facilitating interviews, staffing community events and mentoring student intern staff

    Knowledge & skills:

    • Bachelors degree in Journalism, Communications, Marketing, or related field.
    • Dedication to the goals and mission of the LA84 Foundation – including closing the play equity gap; getting more girls in the game and more women coaching; and working to ensure that all youth have the opportunity to play, regardless of their zip code.
    • Proven success in developing, planning and implementing digital marketing and social media strategies
    • Proficiency with HTML, Wordpress (a requirement), MS Office suite, Adobe InDesign and Photoshop and social media tools
    • Excellent written and verbal communication skills, including knowledge of business communications
    • Wordpress (or related) experience and expertise, to handle regular posting and minor maintenance of the LA84.org website; and to smoothly communicate with the outside web development firm and web graphic designer when any larger web maintenance or changes are necessary.
    • Multi-media storytelling skills. The ability to craft compelling content that connects the work of the LA84 Foundation to a wider audience, by using platforms or tools such as Adobe Spark; making short videos from scratch; posting photo galleries; and/or using other platforms or tools.
    • E-mail newsletter talents. To maintain databases (Mail Chimp, currently) of names, and send out monthly and as needed visually appealing and information-filled communications to the various LA84 Foundation audiences.
    • Other areas of expertise welcome as well – ranging from multi-lingual communication skills to AR or VR interest to ways of sharing information that an ideal candidate can introduce the LA84 Foundation
    • Hands-on experience using a social media platform management tool
    • Experience with social media marketing across all major platforms such as Facebook, and Instagram Experience doing data analysis and building dashboard analytics
    • Strong writing and communications skills
    • Effective planner and organizer
