TITLE: Executive Assistant to the President & CEO
Summary:
Reporting to the President and CEO, the Executive Assistant position’s primary focus is to support the President/CEO and the broad activities of the Foundation’s core programs and operations. The Executive Assistant will multitask, prioritize incoming requests, and work with initiative without requiring close supervision. The role requires analytical and communication skills to appropriately prioritize duties, engage and work collaboratively with the team in a proactive and positive style, and to produce results on-time with meticulous attention to detail. S/he will have administrative duties such as scheduling meetings, scheduling travel and multi-person meeting coordination, drafting correspondence, and compiling and creating meeting materials; but will also be required to assist with special projects as required. Interest in youth development and/or sport recommended. S/he will be involved with a large range of contacts ranging from entry level to extremely high-level and may be exposed to sensitive information requiring discretion, good judgement and confidentiality. S/he will also coordinate/interface with other departments. This position requires comfort and agility in working in a fast-paced work environment and the ability to well-represent the organization and President & CEO to external audiences by phone and email.
RESPONSIBILITIES:
- Support the President & CEO; with secondary administrative support to the Executive Team
- Receives and screens incoming calls and visitors, determines priority and alerts Executive accordingly
- Coordinates Executives schedules; confirms appointments and meetings; with as needed of required agendas and supporting materials as directed;
- Coordinates mutli-person conference calls and meetings; supports agenda development and material preparation; and manages conference line set-up
- Coordinates Executive travel, including but not limited to conference registration, travel authorizations, air bookings, lodging arrangements and ground transport
- Processes expense and reimbursements for Executive in accordance with policy.
- Formats a variety of documents, reports, memos, charts, slide presentations, and graphics for consistency;
- Drafts meeting minutes and circulates for review and timely completion, with experience serving as a Board Secretary;
- Supports data and document management, including filing, scanning and storing digital versions of documents in relevant enterprise content management systems
- Ability to exercise discretion in handling sensitive or confidential information or situations
- Extensive experience with engaging and interfacing with Boards of Directors/Trustees for scheduling and information
- Drafts straw content for Executive meetings, supports Board and Committee meetings with note-taking and action item follow-up
- Orders catering for Executive-owned meetings
- Managing list of topics for Board meetings; supports and coordinates with Senior leadership with board meeting preparation
- Manages collection process of supporting materials for Board meetings; Prepares and formats materials to ensure materials are Board-ready
- Runs, formats, and provides reports from relevant systems, Excel Workbooks, grants management system, and other databases as directed
- Fulfills information requests from internal or external stakeholders as directed
- Research news, youth and sport issues, policy and law, as well as background information on potential partners and contacts
- Supports the organization’s commitment to diversity and inclusion, and values a diversity of perspectives
- Ability to be flexible and nimble to changing priorities and able to receive feedback;
- Collaborates both internally and with external stakeholders to capture, synthesize and share learning and knowledge outcomes with the ongoing execution of all activities as necessary.

REQUIREMENTS:
- Bachelor’s Degree, or equivalent experience.
- 10-15 years’ experience of increasing responsibility in administration and coordination, preferably as an executive assistant and Board Secretary, or similar
- Proficiency in MS Office Suite (Word, Excel, PowerPoint, Outlook)
- Ability to use widely supported internet browsers
- Familiarity with databases and data mining/analysis
- Familiarity with grants management software and relational databases,
- Valid California Class C Driver License or the ability to utilize an alternative method of transportation when needed to carry out job-related essential functions
- Valid automobile liability insurance
- Excellent interpersonal skills, collegial and collaborative approach

TITLE: Program Associate

LA84 seeks to provide an opportunity for every child to participate in sports and experience the wide range of positive outcomes associated with youth sport participation. The Foundation accomplishes this through grantmaking, research, coaching education and direct support. POSITION SUMMARY:
Reporting to the Director, Marketing & Communications, the LA84 Foundation seeks a Communications Associate to be an integral member of the Marketing & Communications staff. This role will support building creative, compelling storytelling through support and execution of the overall social engagement strategy for all relevant social platforms, website content updates, working with internal teams and partners on brand development, help drive social media strategies with creativity and confidence, audience engagement, produce decks, presentations and collateral, as well as manage coverage of mission-driven live events. This position will have a focus on graphic design, asset management, capturing, editing and creating content for social media, and developing the accompanying website content. Strong project and time management skills are a must.
ESSENTIAL FUNCTIONS:
- Support the management and coordination of overall communications strategy for LA84 Foundation and the Play Equity Fund across platforms, inclusive of email campaigns, social media, websites, PR, events, B2B and B2C campaigns and others.
- Support the audience engagement strategy, social media content strategy and production, and the programming/scheduling strategy for all relevant platforms, working with internal teams and external consultants/advisors.
- Assist with the copywriting functions of the organization of communications materials, collaborating with internal stakeholders and external partners, advisors and consultants.
- Support executing promotional strategies for marketing and communications, donor engagement strategy and execution, and managing coverage of live events (for both LA84 and the Play Equity Fund).
- Support creation of content assets for brand development and marketing initiatives, creating and distributing custom content for larger initiatives. Skilled in Adobe products – including Premiere video editing, Photoshop and Illustrator, and familiar with WordPress CMS and MailChimp.
- Work closely with the Director, Marketing & Communications and the CEO to gather and operationalize strategic insights from analytics and historical data, establish benchmarks, and work toward KPIs and goals.
- Supports the social media marketing strategy and execution for key initiatives as The LA84 Sports Summit, the Play Equity Movement campaign, Play Day and others.
- Assists in coordinating and executing initiatives for awareness campaigns and websites.

DESIRED SKILLS & EXPERIENCE
- Minimum 3-5 years of experience in social media marketing or digital content creation.
- Minimum 3 years experience in email marketing or newsletter creation and distribution.
- Extensive social media knowledge and content development experience.
- Excellent writing and editing skills with the ability to align creative strategy with overall business objectives.
- Advanced video production and editing skills using various software including video capture using mobile devices or small portable cameras like GoPro and similar.
- Proficiency in MS Office Suite (Word, Excel, PowerPoint, Outlook), SharePoint, OneDrive, Teams and other online meeting platform skills.
- Advanced skills in PowerPoint presentations preferred.
- Proven competency across social platforms including Facebook, Twitter, Instagram, TikTok, Snapchat and YouTube, as well as staying up to date on emerging platforms.
- Advanced skills in Adobe Photoshop/Illustrator/Premiere/After Effects, Facebook/Instagram, Twitter and YouTube. Familiarity with WordPress or related CMS platforms.
- Proven experience across email marketing and newsletter platforms.

POSITION SUMMARY:
Program Officers (POs) are the primary grant-making professionals at LA84 Foundation. Currently reporting to the VP/Chief of Staff, however they will ultimately report to the Director, Grants and Programs. Program officers work in collaboration with the Grants and Programs team and the LA84 management to assure alignment of external activities, programs, and grantmaking with strategic vision and organizational goals, in pursuit of the achievement of Foundation’s mission. Program Officers serve as community liaisons to prospect organizations, maintain strong and active relationships with grantees, as well as cultivate and sustain relationships with stakeholders, other funders, and experts in the field of sports-based youth development and youth sports. Strong project and time management skills are a must.
RESPONSIBILITIES:
- Makes grant funding recommendations for executive review and approval, including review of grant applications, outreach and research on prospective grantees, due diligence, analysis and preparation of grant recommendations and associated documents for executive and board level review.
- Provides assistance to grantees as needed and requested to support funding requests and support successful implementation of programs
- Monitors active grants through in-person and telephone contacts, review of grantee progress and final reports.
- Develops, analyzes and makes recommendations on programs and initiatives.
- Ensures grantee compliance with grant outcomes and reporting requirements.
- Actively engages in strategy development and participates in the grant peer review process.
- Establishes and maintains collaborative and cooperative working relationships with staff.
- Supports and reviews program and grant outcomes, analyzes data to inform future grant strategy development and management.
- Inputs data into automated grants and programs system and prepares reports and correspondence related to assigned grants and programs.
- Represents LA84 Foundation at community events and ceremonies and serves as a spokesperson for the foundation, as needed.
- Works towards developing collaborative partnerships with relevant stakeholders, policy makers, opinion leaders, corporations, business, civic institutions, and other funders to advance the mission, values, and strategic vision.

REQUIREMENTS
- Bachelor’s Degree required; Master’s Degree preferred
- 5-7 years’ experience, preferably in a grant-making or nonprofit organization.
- Programmatic knowledge based in youth sports and/or youth development.
- Strong written communication skills.
- Excellent communication and interpersonal skills, with a collegial and collaborative approach.
- Experience with nonprofit operations, finance, management, and structure.
- Some knowledge of technical assistance in the non-profit sector.
- Ability to organize detailed information, manage workflows and schedules.
- Ability to effectively interact with the public and serve as a spokesperson for the Foundation.
- Valid driver’s license and automobile for site visits.
Helpful skills:
